Booking & Cancellation Policy

At Memory Travel, we understand that plans can change. Because we curate high-end, private experiences that involve pre-booking exclusive venues, private chauffeurs, and licensed guides, we have established a clear policy to protect both your investment and our local partners in Japan.


1. Cancellation & Refunds

We offer a tiered refund policy based on how much notice is given. This allows us to compensate the artisans and guides who have reserved their time specifically for you.

  • Up to 30 Days Before Departure: Full refund of the tour price, minus a 5% administrative fee (to cover credit card processing and initial booking labor).
  • 14 to 29 Days Before Departure: 50% refund of the total booking cost.
  • 7 to 13 Days Before Departure: 25% refund of the total booking cost.
  • Less than 7 Days / No Show: We are unable to offer a refund for last-minute cancellations due to the non-refundable nature of our private venue and transport bookings.

2. Rescheduling

We believe in flexibility. If you need to change your dates rather than cancel:

  • One-time Reschedule: We allow one date change free of charge if requested at least 21 days before your original tour date (subject to availability).
  • Seasonal Price Difference: If your new dates fall in a peak season (such as Cherry Blossom or Autumn Leaf season), any difference in package price will be applied.

3. Refunds Process

Once a cancellation is confirmed, we will process your refund immediately.

  • Timeline: The credit will automatically be applied to your original method of payment within 7–10 business days, depending on your bank’s processing time.
  • Missing Refunds: If you haven’t received your refund after 10 days, please first check with your bank or credit card provider. If they cannot confirm the transaction, reach out to us at {your-email}.

4. Non-Refundable Items

Certain “add-on” experiences are strictly non-refundable once booked due to the rules of our partners:

  • Special Event Tickets: (e.g., Ghibli Park, Sumo Tournaments, or Special Festivals).
  • Domestic Flights: If we have booked internal Japan flights on your behalf.
  • Luxury Ryokan Deposits: Certain high-end inns have their own 30-day non-refundable windows.

5. Travel Insurance (Recommended)

Because travel can be unpredictable (weather, flight delays, or health issues), we strongly recommend that all guests purchase comprehensive travel insurance. This ensures you are covered for any losses outside of our standard cancellation window.
