To provide luxury travel services, we collect:
- Identity Data: Full name, gender, and date of birth (required for Japanese hotel registrations and rail passes).
- Contact Data: Email address, phone number, and physical address.
- Travel Data: Passport copies (only when required for official bookings) and dietary requirements.
- Payment Data: Processed securely via 3D Secure 2.0. We do not store full credit card numbers on our servers.
2. How We Use Your Data
We use your information strictly to:
- Complete your travel bookings (hotels, guides, transport).
- Communicate updates regarding your itinerary.
- Comply with Japanese Lodging Laws and Tax regulations.
3. Third-Party Sharing
We only share your data with trusted partners necessary for your trip, such as:
- Accommodations (Ryokans/Hotels).
- Transportation providers (JR/Private car services).
- Official partners like JTB or Nippon Travel Agency when booking their specific products. We never sell your data to third parties.
4. Your Rights (GDPR & International)
Regardless of where you live, you have the right to:
- Request a copy of the data we hold about you.
- Request that we delete your data after your trip is completed (subject to Japanese legal record-keeping requirements).

Memory Travel is a registered member of 全国旅行業協会 (ANTA — All Nippon Travel Agents Association), a designated association under Japan’s Travel Agency Act (旅行業法). As part of our ANTA membership:
- We comply with ANTA’s Personal Information Handling Guidelines (個人情報取扱いガイドライン)
- We may share information with ANTA in connection with complaint resolution or legal compliance
- Our booking guarantees are administered through ANTA’s Payment Guarantee Scheme (弁済業務保証金制度), which protects travelers in the event of our business failure
- We follow the Standard General Conditions of Travel Agency Business (標準旅行業約款) as published by the Japan Tourism Agency and ANTA
Booking Partner — 全旅 (Zenryo): Flights and hotel bookings are processed through 全旅 (Zenryo), an ANTA-certified Japanese travel reservation system operated by a separate company. When you use Zenryo, their own privacy policy also applies. We do not receive or store your payment card details — these are handled directly by Zenryo’s secure system.

If you are located in the European Union or European Economic Area, the General Data Protection Regulation (GDPR) gives you the following rights regarding your personal data, regardless of where our business is based:
- Right to access — request a copy of the personal data we hold about you
- Right to rectification — request correction of inaccurate or incomplete data
- Right to erasure — request deletion of your data, subject to legal retention requirements (e.g. booking records we must keep under Japanese law)
- Right to restrict processing — request that we limit how we use your data in certain circumstances
- Right to data portability — receive your data in a structured, commonly used format
- Right to object — object to processing based on legitimate interests, including for marketing purposes
- Right to withdraw consent — withdraw consent at any time where processing is based on consent

Legal basis for processing: we process your data based on contract performance (fulfilling bookings and enquiries), legitimate interests (responding to enquiries, improving our services), legal obligation (compliance with Japanese travel law), or your consent (marketing communications).

Several US states (including California, Virginia, Colorado, Connecticut, Utah and others) have their own comprehensive privacy laws. These laws generally apply to businesses that meet certain revenue or data-volume thresholds (for example, California’s CCPA applies to businesses with over $25 million in annual revenue, 100,000+ consumers’ data processed annually, or deriving 50%+ of revenue from selling personal data).
Memory Travel is a small travel agency based in Chiba, Japan, and does not meet these thresholds. As a matter of good practice and transparency, however, we extend the same core rights to all our visitors regardless of location:
- The right to know what personal information we collect about you
- The right to request deletion of your personal information
- The right to opt out of any data sharing (we do not sell personal information to third parties)

Australia’s Privacy Act 1988 and the Australian Privacy Principles (APPs) currently apply primarily to organisations with an annual turnover above AU$3 million (a threshold under which Memory Travel currently falls). We are aware that this exemption is expected to be phased out, and we are committed to aligning our practices with the APPs as a matter of good faith:
- We only collect personal information reasonably necessary for our travel services
- We do not use or disclose your information for purposes beyond those described in this policy without your consent
- You may request access to or correction of your personal information at any time
- You may lodge a complaint with us directly, and if unresolved, with the Office of the Australian Information Commissioner (OAIC)

International Data Transfers / 国際データ移転
Our servers and business operations are based in Japan. If you access our website from the EU/EEA, USA, Australia or elsewhere, your data will be transferred to and processed in Japan. Japan has been recognised by the European Commission as providing an adequate level of data protection under GDPR (Japan Adequacy Decision, 2019), meaning transfers of personal data from the EU/EEA to Japan do not require additional safeguards beyond this policy.
